How to: Manage Product Hub user privileges

The actions described in this article require Administrator privileges, and are unavailable on Consumer and Contributor profiles.


Manage Product Hub access

Access to the Product Hub is not tied to user roles but instead managed on an individual user basis and can either be adjusted when the user is created, or edited at a later stage.

To grant access to an existing user, click your profile icon – by default this will be the Default profile icon symbol – to open the "Profile & Settings" menu, then select "Settings".

Find your desired user in the list, and click the Edit button on the right.

To grant access, check the box next to "Product Hub" at the bottom of the user page, then click "Save" in the top right.

Manage Product Hub privileges

To streamline the management of usage privileges, the Product Hub makes use of the user roles that you have already established in your tenant. However, as many of its features require their own set of permissions, which are managed independently and directly through the Product Hub.


Click on "Admin" in the top right corner, then select "Privileges".

To grant a privilege, check the box next to it. Remove the check to revoke the privilege again. Click "Save" to apply your changes to the role.

Manage User Group access controls

In addition to role-based privileges, Product Hub supports access controls at the User Group level. Where privileges define what actions a user can take, access controls define what data they can see — specifically, which Categories, Types, Catalogs, and Channels are visible to members of a given group.

The system is open by default: until an Admin configures restrictions, all non-Admin users continue to see all product data. Users with PIM access who are not part of a PIM-enabled User Group also retain unrestricted access.

Please note:

User Groups are created and managed in the Canto DAM, not in Product Hub. Group names, descriptions, and membership are controlled there and sync to Product Hub in real time. Admin users are never affected by access controls — they always have full access. Read more about User Groups in this article.


To enable a User Group for Product Hub, a DAM Admin must first turn on PIM access for that group in the Canto DAM's User Group settings. Once enabled, the group appears automatically in Product Hub.


In Product Hub, click on "Admin" in the top right corner, then select "User Groups".

The User Groups list shows all PIM-enabled groups. The columns for Categories, Channels, Catalogs, and Types display a count of configured items for each group, updating in real time as you make changes.

Click on a group to open its configuration page. Use the four tabs — Categories, Types, Catalogs, and Channels — to define what members of this group can access. Each tab is read-only by default; click "Edit" to make changes, then click "Save" to apply them. Clicking "Cancel" discards any unsaved changes on that tab.

Each tab works slightly differently:

  • Categories — all categories are selected by default; deselect to restrict. A parent-level checkbox selects or deselects all children at once.
  • Types — allowlist model; only Types you explicitly select are visible to the group.
  • Catalogs — allowlist model; only selected Catalogs are accessible to the group.
  • Channels — allowlist organized by parent Channel and child Channel Templates; access to a Channel must be granted before its Channel Templates become selectable.

Please note:

Access controls apply at the group level only — there are no individual user-level overrides. Configure all four entity tabs before rolling out restrictions to avoid unexpected visibility gaps.

It can be difficult to decide what options are best suited for your specific workflow. To assist in this process, the following list provides the name of each privilege as listed on "Privileges" section of the Product Hub, and a brief explanation of their function.

Create Products and Variants

Enables users to create new Products and Variants in the Product Hub.

Enables users to edit Attributes of existing Products and Variants.

Delete Products and Variants

Enables users to delete Products and Variants in the Product Hub.

Please note:

This does not grant the ability to restore deleted Products, which is a privilege reserved for the Administrator role.

Assign Products to Categories

Enables users to assign Products to a category.

Manage Channel Products

Enables users to add Products to new and existing Channels.

Create Catalogs

Enables users to create new Catalogs.

Edit Catalog Settings

Manage Catalog Products

Enables users to add and remove Products from Catalogs.

Delete Catalogs

Enables users to delete Catalogs.

Please note:

Manage Product Assets

Enables users to assign, edit, and remove associations between assets in the Main Library and a Product.

Download Product Assets

Enables users to download assets associated with a Product from the Product page.

Export Products

Enables users to export Product Attribute data from the Product Hub.

View Catalogs

Enables users to access the "Catalogs" section in the Product Hub.

Share Products

Enables users to create Share Links for individual Products.

Share Catalogs

Enables users to create Share Links for entire Catalogs.

Access Bulk Operations

Enables users the "Perform Bulk Operations" button in the Product Hub.

Manage Product Info

Enables users to access the "Product Info" page in the Admin menu.

Manage Product Categories

Enables access to the Categories' context menu, as well as the "Add Categories" button in the Product Hub.

Perform Imports

Enables users to access the "Import" page in the Admin menu.

Manage Channel Settings

Enables users to access the "Channels" page in the Admin menu.

Manage Shopify Channel Settings

Allows users to access and adjust the preset "Shopify" Channel.

Export to Shopify

Allows users to select the preset "Shopify" Channel during the Product data export process.

Manage Amazon Preset

Allows users to access and adjust the preset "Amazon" Channel.

Export to Amazon

Allows users to select the preset "Amazon" Channel during the Product data export process.

API

This privilege may be disregarded, as the Product Hub API can be utilized regardless of user role, provided that a valid API Key is used.

Recover from Trash

Enables users to access the "Trash" page in the Admin menu, allowing for the recovery of deleted Products.
