How to: Manage Products

Products are the individual items that populate your Product Hub. They are composed of various Attributes, can have different Views and Variants, and can be organized in Catalogs.

Please note:

Some steps in this article require specific user privileges. If you cannot complete certain steps, please contact your Administrator for a review of your assigned privileges.


Create a new Product

Individually

From the Product Hub, click on "Products" in the top right corner, then select "All Products".

You must enter a name and an SKU number. While the SKU is not marked as required, it is important for future actions and should be added as soon as possible.

Please note:

Product names do not need to be unique, but too many identical names can cause confusion. If a Product has different versions, consider making a Variant instead of creating a new Product.

Finally, click "Add Product". This will save your new Product, and automatically open its Product page, where you can make further changes, such as adjusting the Type, Category, or Channels. For more information on these options, please see the section "Manage existing Products" in this article.

In bulk

When a new product is created individually, it has no Attributes assigned except for a name and SKU number. Any further details must be added individually, which can be time-consuming when more than one product has to be created.

To speed up this process, multiple Products can be created at once using the "Import" function. To learn more about this feature, please visit the article "How to: Import Product data".

Please note:

The Import function can only assign existing Attributes to the imported data; you will not be able to create new Attributes. Please make sure that all necessary data has a matching Attribute in Canto PIM before you begin the Import process.


Manage existing Products

To manage a Product, click on "Products", and select either "All Products", "Channels", or "Types".

Locate your Product either manually, or by using the search bar above the list, then click it to open its Product page.

The Product page – an overview

Each Product has a dedicated page where you can review and edit the Product's information and settings. The left half of the page displays the associated assets, and any Image Groups with assets assigned to them.

The right half of the page features four tabs, each of which is dedicated to a specific type of information.

  • Product Details

    The Product Details tab has two subsections: the "General" section at the top shows all Attributes that are part of the "General" Attribute Group. It is always visible regardless of the current View. Below the "General" section is the "Product Type Details" section , which displays Attributes linked to the Product's Type. The Attributes displayed in this section depend on the current View and can be adjusted via the drop-down menu on the right .

    If any required Attributes for the Product Type are not filled out, the tab and the missing Attributes will be marked with the Incomplete Attribute Data-symbol. Additionally, the Incomplete Attribute Data Flag -symbol will appear at the top of the page, indicating the number of missing Attributes.

  • Variants

    This tab is only visible if Variants have been enabled through the Settings. You can switch between Variants by using the drop-down menu at the top of the tab. Like the Product Details Tab, the Variants Tab has two subsections. The "General" section shows all Attributes that are part of the "General" Attribute Group, but also includes the Variant Dimensions . Instead of Product Type Details the Variant tab has a "Variants Details" section, showing the selected Variant's Attributes as determined by the Product Type and current View.   • Channels

    The "Channels" tab lists all Channels to which the Product is assigned in separate sections. If any Attributes required by a Channel are missing, the tab will be marked with the Incomplete Attribute Data-symbol, and the Attribute will appear in the respective section. Additionally, the Incomplete Attribute Data Flag -symbol will appear at the top of the page, indicating the overall number of missing Attributes.   • Settings

    The "Settings" tab is once more split into two subsections. The "Product Settings" contain the Product Type and Product Category, while the "Variant Settings" show whether the Product has Variants enabled, and which Variant Dimensions it uses.

The details on each of these tabs can be adjusted by clicking the "Edit" button in the top right corner.

Change the Product Type

The Product Type determines which Attributes a Product has, and a Product without any Type – such as a newly created Product – will not have any Attributes fields available. To learn more about Types, please visit the article "How to: Manage Product Types".

Open the Product page, select the "Settings" tab, and click "Edit" in the top right corner.

Click into the "Product Type" field, and select your desired Type from the drop-down menu. Click "Save" in the top right.

To remove a Product's type, follow the same steps as before, but select the space above the top entry instead of choosing a Type from the drop-down menu.

Change the Product Category

Product Categories are an organizational tool within the Product Hub, allowing you to group Products independently of their Type. Any Product that has not been assigned to any Category can be found in the default Category "Unassigned". Open the Product page, select the "Settings" tab, and click "Edit" in the top right corner.

Click into the "Category" field, and select your desired Category from the drop-down menu. Click "Save" in the top right.

To unassign a Product from a Category, follow the same steps as before, but select the space above the top entry instead of choosing a Category from the drop-down menu.

Enable Variants

Variants allow you to create different versions of Product – for example an article of clothing that comes in different sizes – without needing to create a separate Product. To learn more about Variants, please visit the article "How to: Manage Product Variants".

Open the Product page, select the "Settings" tab, and click "Edit" in the top right corner.

Check the box next to "Allow for Variants", and select one or more Variant Dimensions. Click "Save" in the top right.

Edit Product Details

Regardless of whether you have recently assigned a Type to a new Product, created a Variant, or added a Product to a Channel, the steps for updating Product Details are always very similar.

Open the Product page, and select the "Product Details" tab if you want to update the overall Product information, the "Variants" tab if you want to make changes to one of the Product's Variants, or the  "Channels" tab if it has been marked with the Incomplete Attribute Data-symbol. Click "Edit" in the top right corner.

Ensure that the View is set to "All", then update the details in any Attribute field as necessary. Finally, click "Save" in the top right corner.

Delete a Product

Open the Product page, and select the "Product Details" tab. Click the Options-icon next to the "Share" button and select "Delete Product".

Click "OK" in the confirmation dialog to delete the Product.

Edit Products in bulk

You can adjust both the Product Type and Product Category for multiple assets at once.

From the Product Hub, click on "Products" in the top right corner, then select "All Products".

Find the Products you want to update in the list, and select them by checking the box on their left. Click the Options-icon in the gray bar that appears at the top of the list to open the context menu, then select one of the options.

  • Assign Type

    Choose a new Type from the drop-down menu, then click "Assign Type". To perform additional bulk actions on the same Products, check "Perform another action" before clicking "Assign Type".

  • Assign Category

    Choose a new Category from the drop-down menu, then click "Assign Category". To perform additional bulk actions on the same Products, check "Perform another action" before clicking "Assign Category"

  • Delete

    Click "OK" in the confirmation dialog to delete all selected Products.

Share a Product

Like many other elements in Canto PIM, Products can be shared to make them easily available to external and internal recepients.

Open the Product page, select the "Product Details" tab, and click the "Share" button in the top right.

The new overlay will display the Share Link for the Product. You can either copy the URL by clicking the Copy to clipboard-symbol, or click on "Open Link" to open the Share Link in a new browser tab.

You can also update the Share Link's expiration date, and provide a custom name to replace the randomly generated URL with a shortened version that includes your chosen name.

Manage Product assets

Canto PIM bridges the gap between Asset Management and Product Management, by enabling you to directly assign assets from your library to your Products.

Open the Product page, select the "Product Details" tab, and click "Edit" in the top right corner.

Add Featured Assets

From Canto PIM

Featured Assets represent the default assets of a product and can be used to populate Image Groups.

To add Featured Assets, click on "Add Assets" on the left of the page.

The following page features a selection of assets from your Main Library. Select one or more assets by clicking on them. Assets that have been selected will be marked with a bold frame. If you cannot see the assets you want to add, use the search bar at the top of the page to look for assets by their file name. Click "Save" to add the selected assets to the Product.

Please note:

Performing a search will reset the current selection. If only some of the desired assets are found in one search, add the available ones first, then repeat the process to include the rest.

From the Main Library

Once Canto PIM has been enabled on your account, the section "Associated Products" will appear at the top of the Preview Page.

If any Products are already linked with the asset, they will appear at the top of this section, and you can click the Open in new tab-symbol to open the corresponding Product page in a new tab.

To add associate the asset with a new Product, enter either the Product's name or SKU in the search bar. Select the desired Product from the results, then click "Save" to finalize the link.

Change the default asset

Once you have added at least one asset to a Product, Canto PIM will always display the first of the Featured Assets as the default image for the Product in the Product Hub and Catalogs.

To change the default asset, select the "Product Details" tab, and click "Edit" in the top right corner.

Under "Featured Assets", look for the asset you want to make the default. Click and hold the asset, then drag it to the left of the section. The order of the other assets will adjust automatically as you move the current asset. When the asset is at the left-most position, release the mouse button.

You can verify that the update was successful if the asset is surrounded by a light-green frame, and is shown in a magnified view above the "Featured Assets" section. Click "Save" in the top right to update the Product.

Add assets to Image Groups

Image Groups function as micro-gallery templates for Catalogs, allowing you to choose which assets are shown for a product, depending on the Catalog's assigned View.

First, open the Product page, select the "Product Details" tab, and click "Edit" in the top right corner.

Next, find the asset you want to add to the Image Group in the "Featured Assets" section. Click and hold the asset, then drag it onto the desired Image Attribute and release the mouse button. Finally, click "Save" in the top right to update the Product.

Remove an asset

To remove an asset from a Product, open the Product page, select the "Product Details" tab, and click "Edit" in the top right corner. Find the asset in either the "Featured Assets" section, or Image Group, click the Options-symbol in its bottom right corner, and select "Remove". Finally, click "Save" in the top right corner.

Please note:

Removing an asset from a Product does not delete it in your Main Library.

Removing a Featured Asset that has been added to an Image Group will remove the asset from the Image Group as well. However, removing an Asset from an Image Group will not effect the Featured Assets.

Additional actions

While viewing a Products page, you can perform two additional actions with the assigned assets.

Open the Product page, select the "Product Details" tab, hover over an asset to display the Options-symbol, then click it to reveal the asset's context menu.

Selecting "View Asset in Library" will open the Main Library in a new tab, and open the Preview Page of the selected Asset.

Selecting "Download Asset" will download a copy of the asset.
