Approval Status Options

Requirement: You need to be signed in using an administrator's or contributor's account in order to make these adjustments. As a contributor you need the privilege Approve Content  to in order to change the status of assets.


Administrators and Contributors are able to assign different approval statuses to assets.
These statuses can help teams strategize workflow processes, develop and finalize content, and direct the publication of content on portals.

The approval status of an asset can be set in the Status section on the Preview Page/Information Page.

Approval Options:

Approved: 

  • Consumer are able to see assets with this status in the Library.
  • Assets with this status can be shared and downloaded by consumers

Pending:

  • This status is automatically applied when assets require manual approval, but have not been approved. 
  • Consumers are not able to see assets with this status in the Library.
  • Assets with this status can not be shared or downloaded by consumers

Restricted:

  • Consumers are not able to see assets with this status in the Library.
  • Assets with this status can not be shared or downloaded by consumers.

Please note: Pending and Restricted have the same effect on a technical level, but are intended for different use cases. 

  • Pending assets are still in assessment, and their final status is not yet set. 
  • Restricted assets have passed assessment, but are deliberately restricted, e.g. an asset containing sensitive data.

Custom status:

  • Consumers are not able to see assets with this status in the Library.

Expired:

  • This status is automatically applied to formerly approved asset with an expiration date, when the expiration date has passed.
  • Assets with this status can not be shared or downloaded by consumers.
  • Assets with this status are not displayed in portals
