User privilege index

Whether you want to adjust an existing role, or create a new custom role, it can sometimes be difficult to decide what options are best suited for your specific workflow. To assist in this process, the following list provides the name of each privilege as listed on "Privileges" section of the Settings page, and a brief explanation of their function.

Content

Create Folder and Album

Enables users to create new folders and albums in the Main Library. Additionally, users with this privilege are able to set an image asset as the cover of an album. Please see the following articles for more information.

Delete Folder and Album

Enables users to delete folders and albums in the Main Library. Please see the article "Remove Folders or Albums" for more information.

Approve Content

Enables users to change the approval status of an asset. Please see the article "Approval Status Options" for more information.

Please note: In order to change the approval status of an asset, users need to be able to see the current approval status. Because of this, enabling the "Approve Content" privilege will also enable the "View File Status" privilege. This requirement will also cause the "Approve Content" privilege to be disabled, if the "View File Status" is revoked.

Upload Content

Enables users to upload assets to the Main Library. Please see the article "Upload to Main Library" for more information.

Delete Content

Enables users to move assets from the Main Library to the Trash Bin. Please see the article "Delete a Folder or Album along with its Assets" for more information.

Please note: This option does not grant access to the Trash Bin, which is reserved for users with the Administrator role. Additionally, revoking this privilege will prevent users from removing content from albums via the "Remove from Album" button ("Remove from Album") in the gallery.

Edit Content

Enables users to edit assets and asset metadata in the Main Library. Additinally, this privilege grants access to certain AI enabled functions that would edit metadata fields, for example Facial Recognition and Optical Character Recognition (OCR). Please see the following articles for more information.

Curate Content

Enables users to create curated views for albums. Please see the article "Curated View" for more information.

Please note: When the privilege "Manage Curated Content" is granted, it will automatically grant the privilege "Curate Content". If the privilege "Curate Content" is revoked, the privilege "Manage Curated Content" is revoked too. Both privileges enable the same functionality within the Canto interface.

Download Content

Enables users to download content from the Main Library. Please see the following articles for more information.

Relate Content

Enables users to relate assets to one another. Please see the article "Relate Files" for more information.

Move to Main Library

Enables users to move items from a Workspace to the Main Library. Please see the article "Move Assets/Folders/Albums from a Workspace to the Main Library" for more information.
Please note: For this privilege to function, the role must also have the privilege "Manage Workspaces" enabled.

Assign Content to Album

Enables users to add assets to an album. Please see the article "How to: Add assets to an album" for more information.

Add Comments

Enables users to add comments on folders, albums, and assets. Please see the article "Annotation Marks" for more information.

Please note: In order to be able to add comments, users will also require the "View Comments" privilege.

Message Board

This privilege currently has no function. In a previous version of Canto, it allowed users to receive messages. For more information, please visit the article "View messages".

Follow

Enables users to follow a folder, album, or asset, which means that they will receive notifications whenever the item is commented on, modified or deleted. Please see the article "Follow Assets, Albums or Folders" for more information.

Viewing

View Custom Fields

Enables users to see Custom Fields on the Preview and Information Page of a folder, album, or asset. Please see the article "Custom Fields" for more information.

View Description

Enables users to see the "Description" field on the Preview and Information Page of a folder, album, or asset. Please see the following articles for more information.

View Albums

Enables users to see the "In These Albums" field on the Preview and Information Page of a folder, album, or asset. Please see the following articles for more information.

View Tags

Enables users to see the "Tags" field on the Preview and Information Page of a folder, album, or asset. Please see the following articles for more information.

View Details

Enables users to see the "Details" field on the Preview and Information Page of a folder, album, or asset. Please see the following articles for more information.

View Comments

Enables users to see the "Comments" field on the Preview and Information Page of a folder, album, or asset. Please see the following articles for more information.
Please note: This privilege is required for the function of the "Add Comments" privilege, and will automatically be granted if "Add Comments" is enabled. Should the "View Comments" privilege be removed while the "Add Comments" privilege is active, the "Add Comments" privilege will be disabled in turn.

View Keywords

Enables users to see the "Keywords" field on the Preview and Information Page of a folder, album, or asset. Please see the following articles for more information.

View Versions

Enables users to see the "Versions" field on the Preview and Information Page of a folder, album, or asset. Please see the following articles for more information.

View PDFs/Docs

Enables users to open the document viewer for PDF, Microsoft Word, and InDesign documents from the Preview page. Please see the following articles for more information.
Please note: Revoking this privilege does not prevent users from seeing these items in the Main Library, or downloading them. To achieve this, the asset itself would need to be restricted, and the user's download privilege removed.

View HTML

Enables users to open and view HTML documents from the Preview page. Please see the article "Preview Page" for more information.

Please note: Revoking this privilege does not prevent users from seeing these items in the Main Library, or downloading them. To achieve this, the asset itself would need to be restricted, and the user's download privilege removed.

View Direct URLs

Enables users to see the "Direct URLs" field on the Information Page. Please see the article "Access an Asset's Information Page" for more information.

View Web Banner

Enables users to open and view Web Banners from the Information page. Please see the article "Access an Asset's Information Page" for more information.

Please note: Revoking this privilege does not prevent users from seeing these items in the Main Library, or downloading them. To achieve this, the asset itself would need to be restricted, and the user's download privilege removed.

View File Status

Enables users to see the "Status" field on the Preview and Information Page. Please see the article "Access an Asset's Information Page" for more information.

Please note: In order to change the approval status of an asset, users need to be able to see the current approval status. Because of this, enabling the "Approve Content" privilege will also enable the "View File Status" privilege. This requirement will also cause the "Approve Content" privilege to be disabled, if the "View File Status" is revoked.

View Document Text

Enables users to see the "Document Text" field on the Information Page. Please see the article "Access an Asset's Information Page" for more information.

View Reports

Enables users to access the Admin Dashboard and view the reports. Please see the article "View Admin Dashboard" for more information.

View Files without Watermark (if applied)

Enables users to view and download assets which have had a watermark applied without the watermark being visible. Additionally, this privilege enables users to adjust the Digital Rights Management field on the Preview and Information Page. Please see the articles in the section "Digital Rights Management (DRM)" for more information.

Please note: This privilege is granted to the Contributor role by default, and cannot be revoked.

Sharing

Share by Email

Enables users to share folders, albums, and assets by email. Additionally, this privilege grants the ability to create, edit, and delete Share Links from the Settings page. Please see the article "E-Mail-Sharing" for more information.

Please note: As sharing content via email requires the creation of a Share Link, this privilege grants the same abilities as the privilege "Share using Links".
Enables users to generate a Share Link for folders, albums, and assets. Additionally, this privilege grants the ability to create, edit, and delete Share Links from the Settings page. Please see the article "Share Link" for more information.

Share to Box

Enables users to share albums and assets to Box. Please see the article "Share Assets via Box" for more information.

Share to Dropbox

Enables users to share albums and assets to Dropbox. Please see the article "Share Assets via Dropbox" for more information.

Share to Twitter

Enables users to share albums and assets to Twitter. Please see the article "Share Assets via Twitter" for more information.

Share to Facebook

Enables users to share albums and assets to Facebook. Please see the article "Share Assets via Facebook" for more information.

Share to Vimeo

Enables users to share video assets to Vimeo. Please see the article "Connect Canto to Vimeo and share Videos" for more information.

Share to Pinterest

Enables users to share albums and assets to Pinterest. Please see the article "Share Assets via Pinterest" for more information.

Share to YouTube

Enables users to share video assets to Youtube. Please see the article "Connect Canto to YouTube and share Videos" for more information.

Share to Slack

Enables users to share assets to Slack. Please see the article "Share Assets via Slack" for more information.

Share to Egnyte

Share to LinkedIn

Share to OneDrive

Share to SharePoint

Advanced

Manage Portals

Enables users to create, edit, and delete Portals. Please see the articles in the section "Portals" for more information.

Manage Style Guides

Enables users to create, edit, and delete Style Guides. Please see the article  "Style Guide - Overview" for more information.

Manage Workspaces

Enables users to create, edit, and delete Workspaces. Please see the articles in the section "Workspaces" for more information.

Manage External Connections

Enables users to set up, edit, and delete connections to third party services. Please see the article "Set up External Connections" for more information.
Enables users to create, edit, and delete Upload Links. Please see the articles in the section "Upload Link" for more information.

Enables users to edit and delete Share Links. Please see the article "Share Link" for more information.

Please note: This privilege does not grant the ability to create new Share Links. To enable a user to create new Share Links, the privilege "Share by Email" or "Share using Links" must be granted.

Manage Workflows

Enables users to create new Workflows, clone existing Workflows, and delete Workflows. Please see the articles in the section "Workflows" for more information.

Export Metadata

Enables users to export asset metadata. Please see the article "Metadata Export" for more information.

Import Metadata

Enables users to import asset metadata. Please see the article "Metadata Import" for more information.

Manage Asset Requests

Enables users to approve or decline Asset Requests sent through a portal. Please see the article "Asset Request" for more information.

Manage Cold Storage Content

Enables users to move assets in and out of Cold Storage. Please see the article "Cold Storage - Overview" for more information.
Please note: While users with this privilege can move content into Cold Storage, restoring content from Cold Storage requires that the privilege "View Reports" is also granted. The button "Restore from Cold Storage" (Restore from Cold Storage) will only be accessible in the gallery when both privileges are active.

Manage Canto Connect Settings

Enables users to access the "Duplicate Check for Canto Connect File/Folder Uploads" in Canto Connect. Please see the following articles for more information.

Manage Curated Content

Enables users to create curated views for albums. Please see the article "Curated View" for more information.

Please note: When the privilege "Manage Curated Content" is granted, it will automatically grant the privilege "Curate Content". If the privilege "Curate Content" is revoked, the privilege "Manage Curated Content" is revoked too. Both privileges enable the same functionality within the Canto interface.

Manage Metadata Templates

Enables users to create, edit, and delete Metadata Templates. Please see the articles in the section "Metadata" for more information.

Manage Digital Rights Management

Enables users to adjust the Digital Rights Management settings under the tab "Configuration Options" on the Settings page. Additionally, this privilege enables users to adjust the Digital Rights Management field on the Preview and Information Page. Please see the articles in the section "Digital Rights Management (DRM)" for more information.

Please note: Granting the privilege "Manage Digital Rights Management" does not automatically grant the ability to view and download assets which have had a watermark applied without the watermark being visible. This ability requires the privilege "View Files without Watermark (if applied)".

Manage Custom Configuration

Enables users to access the "Custom Configuration" section in the tab "Configuration Options" on the Settings page. This allows them to edit the layout of the Metadata Editor for uploads and bulk edits, Preview page, Information Page, and Filter Panel. Page. Please see the article "Custom Configuration - Overview" for more information.

Please note: Granting the privilege "Manage Custom Configuration" does not automatically grant any of the privileges in the category "Viewing", which means that users would be able to manage the layout of different fields, without being able to see these fields when interacting with content.

Manage Thumbnails

Enables users to change the Thumbnails for specific assets. Please see the articles in the section "Change the Preview/Thumbnail of an Asset" for more information.

Manage Users and Groups

Enables users to access the sections "Users" and "Groups" in the tab "Users & Groups" on the Settings page. This allows them to create, edit, and delete users and groups. Please see the articles in the section "Users & Groups (User Roles)" for more information.

Manage Keywords

Enables users to access the section "Keywords" in the tab "Configuration Options" on the Settings page. This allows them to create, edit, and delete asset keywords. Please see the articles in the section "Keywords" for more information.

Manage Custom Fields

Enables users to access the "Custom Fields" section in the tab "Configuration Options" on the Settings page. This allows them to create, edit, and delete Custom Fields and sections, as well as adjust their layout, and metadata mapping. Please see the article "Custom Fields" for more information.

Please note: Granting the privilege "Manage Custom Fields" does not automatically grant the privilege "View Custom Fields", which means that users would be able to manage the Custom Fields, without being able to see these fields when interacting with content.
