How to: Filters

Filters are a powerful tool, allowing you to sort through large numbers of assets with ease. They are available in the Main Library, and all other Canto segments that have a gallery function, such as Portals and Share Links.


The Filter Panel is available directly from the gallery and can be used to filter the contents of a selected album or folder, or the results of a search.

Depending on your tenant settings, the Filter Panel may not be visible by default. You can reveal it by clicking the Filter Panel icon in the top right. To hide the Filter Panel, click the Hide icon while the panel is visible.

Clicking a section in the Filter Panel will expand it to reveal the available filter options, and clicking it a second time will hide the options again .

Most options can be added to your selection with a click , while others may require you to select a checkbox, enter something into a field and click the Add button, or enter a date.

Selected filters will be listed at the top of the Filter Panel. Clicking "Clear All" will remove all filters ③.

To only remove filters from a specific section, find the section name in the list, then click the "Clear" button next to its name ④.

Combining filters

You can select multiple filters, but how they interact will vary based on your tenant settings. Some filters allow you to choose how they will be combined with the rest of your selection. Select the filter section and click the Context Menu symbol to see the available combinators for that section.

AND will show only assets that match the all active filters from this section.

OR will show any assets that match at least one of the active filters from this section.

NOT will only show assets that do not match the active filters from this section.

Available filters

Default filters

Filters marked with * are only avilable in the Trash Bin.

Name Description Available combinators
AND OR NOT
Asset Activity Include or exclude assets with comments, annotations, or a version history.
Asset Type Include or exclude specific asset types.
Audio Filter audio assets (MPEG, M4A, OGG, and others) by the length of their audio content.
Copyright Filter for assets with or without copyright.
Date Created Filter by the date the asset was created.
Date Modified Filter by the date the assetwas modified.
Date Uploaded Filter by the date the assetwas uploaded.
Document Filter documents (DOC, PDF, XML, HTML, ZIP, XLS, and others ) by the number of pages they contain.
File Size Filter by file size.
Images

Filter image assets (PNG, JPG DNG, TIF, PSD, CR2, CR3, NEF, ARW, GIF, INDD, EPS, ICO, AI, SVG, HEIC, WEBP, and others) by their:

  • Width and height
  • Pixel dimensions
  • DPI
  • Color scheme
  • Orientation
  • Watermark
Keywords Filter by selected keywords.
People Filter by persons catalogued during Facial Recognition.
Presentation Filter documents (PPT, KEY, and others ) by the number of pages they contain.
Smart Tags Filter by selected Smart Tags.
Status Filter by the asset's current approval status, as well as for pending assets nearing automatic approval or approved assets expiring during a specific timeframe.
Tags Filter by selected tags.
Terms & Conditions Filter by selected Terms & Conditions.
Uploaded By Show only assets uploaded by specific user.
Video Captions Filter by a video assets caption language.
Videos Filter video assets (MOV, MP4, MPEG, AVI, WMV, FLV, MKV, WEBM, 3GP, and others) by the length of their video content, as well as their watermarks.
Deleted Date/Time * Filter by the date and time the asset was deleted.
Deleted By * Show only assets deleted by a specific user.

Custom filters

Whenever you create a Custom Field, you can also use it to filter your assets by the metadata collected through this field.

No Value filter

Some filter options – such as single choice, multiple choice, and custom text – also allow you to select "No Value". This option filters for assets that have an empty entry for the respective metadata field, enabling you to quickly assess your library for assets with missing metadata.

Manage the Filter Panel

Please note:

The actions described in this section require Administrator privileges, and are unavailable on Consumer and Contributor profiles.

The you can adjust the default behaviour and the available filter sections in the Filter Panel through the tenant Settings.

Click your profile icon – by default this will be the Default profile icon symbol – to open the "Profile & Settings" menu, then select "Settings".

Add and remove filters

On the Settings page, select the "Configuration Options" tab. From the menu on the left select either "Custom Configuration" – for the browser-based version of your library – or "Mobile Interface" – for the Canto DAM iOS app. Both options are identical otherwise.

Select the "Filter Panel" tab to view all available filters. The "Layout" column shows filters added to the panel, while the "Fields" column lists those not selected for display. At the bottom of the page is a second list, allowing you to adjust the filters that appear in the "Image" filter section.

To add a filter, find it in the "Fields" column and click the Add button to move it to the bottom of the "Layout" column .

To remove a filter, find it in the "Layout" column and click the Remove button to return it to the "Fields" column .

You may change the default visibilty of a section's filter options. Click the Expand icon to expand the section and display its content, or the Collapse icon to collapse the section .

To adjust the order in which the sections appear in the panel, click the section you wish to move and while holding your mouse button, drag it to the new position. Release the mouse button to insert the section at the space indicated by the green frame.

Once you are satisfied with the new layout, click the "Save" button in the top right.

Default filter logic

On the Settings page, select the "Configuration Options" tab, then "Defaults" from the menu on the left.

Select the "Search & Filter Panel" tab and scroll down to find the "Filter Panel Default Options".

The sections "Keywords Condition" and "Tags Condition" allow you to define the default setting for how multiple filters will be combined when filtering for Keywords and Tags. Users may change this setting in the filter panel as required.

The section "Filter Logic" manages dynamic filtering. Dynamic filtering allows the Filter Panel to adjust based on the metadata of currently filtered assets. For example, filtering by the keyword "Sand" will automatically update the other filters to only show Tags, Smart Tags, and other metadata linked to assets with the keyword "Sand".

Selecting "Display updated filter values" enables dynamic filters, while selecting "Don't display updated filter values" disables it. Click the "Save" button in the top right to confirm your choices.
