How to: Review a proof

Whenever a new proof or proof version is created, the Reviewers and Approvers are automatically informed via email. In turn, Approvers receive a message when Reviewers finish their review, and the Owner receives a message when the Approver makes their decision.

Open Approval Hub and select "Proofs To Review" from the menu on the right. Find the proof you want to review, click the Context Menu button on the right, and select "Open Proof". Alternatively, you can click the link in the email you received.

Select the pen tool and highlight any parts that you want to comment on . You can then use the Comment Panel to provide additional details for the proof's Owner. Click the Fill button to adjust the highlight's style, making it easier for the Approver and other Reviewers to see your intent.

If there are any pre-existing comments on the proof, you can also leave replies or click the Agree button to show that you agree with them.

To submit your review, click the "Finished" button in the bottom right and select either "Approved Approved" or "Changes Please Red Pen"

Open Approval Hub and select "Proofs To Review" from the menu on the right. Find the proof you want to review, click the Context Menu button on the right, and select "Open Proof". Alternatively, you can click the link in the email you received.

Approvers have access to all the same tools as Reviewers, allowing you to highlight sections of a page and leave comments – for more details, please see the tab "As a Reviewer".

Additionally, you should assess any existing entries in the Comment Panel. To determine how to address a comment you can...

  • ... click the comment to highlight the related mark on the page.
  • ... check the Agree icon to see the number of Reviewers who have agreed with the comment.
  • ... reply to the comment to ask for additional clarification.

If the feedback should be added to the proof, click the Unmarked icon to mark it as "To-Do". To remove this status, click the To-Do icon.

After you have reviewed the comments, move on to the Utility Bar to make your final decision .

If any comments have been marked as "To-Do", click the "Send To-Do List" button, to compile the comments into a list of tasks for the Owner of the proof.

If all comments are unmarked or "Done", click the "Approve" button to submit your final approval.

You may also click the Lock icon to lock the proof, which prevents reviewers from adding additional comments.

When you receive the Approver's decision, you have two options:

  • If the proof was approved, you should continue the project workflow outside of Approval Hub.
  • If the Approver has created a To-Do list, you should open the proof from Approval Hub Dashboard or via link you received by email.

Once you have opened the proof, review the comments and take action on the recommended changes.

Please note:

It is not possible to edit assets once they have been added to a proof. Adjustments must be performed using the original files and programs.

To keep track of which comments you have already addressed, click the To-Do icon to change it into the Done icon .

Once you have performed all updates, return to Approval Hub Dashboard, click the Context Menu button on the right, and select "Create New Version"

Set a new due date and add your assets back to the proof.

Please note:

Only the assets you select will be added to the new version of the proof. While Reviewers can access previous versions to see assets that were included, it is recommended to include even unchanged assets to ensure a consistent review experience.

You may also include a new message to the Reviewers, or update the positions of Reviewers and Approvers. When you are done, click "Create New Version".
