When you review a proof, you will do so using the Proofing Interface. This Interface will have different options available, depending on the type of asset on the current page, your role in the review process, and the state of the proof.
The Proofing Interface can be divided into four sections.
① The Viewing Area, which shows the current page of the proof.
② The Utility Bar, which can be used to navigate the proof and submit feedback.
③ The Review Toolbox, which contains all the tools needed to review a proof.
④ The Comment Panel, where you can leave and engage with comments.
Viewing Area
This section shows the current page of a proof.
Use the scrollwheel on your mouse to move between pages, or hold the Ctrl key at the same time to zoom in and out. Click and drag to move the page around.
Some of the tools available in the Utility Bar, Review Toolbox, and Comment Panel also affect what is visible in the Viewing Area.
Utility Bar
The Utility Bar holds options that aid in the management of the proof and review process.
Print Sheet
Clicking this option will generate a collection of all comments on the proof, which you may either download as a PDF or print.
Download
Click this button to download a copy of the proof.
Return
This button returns you to the default view and appears only when special views – for example Focus Mode – are active.
Current Proof Version
This option becomes available when multiple versions of a proof have been created, and shows which version you are currently viewing. To change the active version, click the field and select the version you wish to display instead.
Compare Proof Versions
This option becomes available when multiple versions of a proof have been created. Clicking this button will open a split view, allowing you to select a version on each half to compare against each other.
Previous Page, Next Page
These buttons allow you switch between pages of a proof.
Page Grid
If a proof has more than one page, you may click this button to display all pages in a grid layout. From here, you may click any page to bring it into focus.
Bookmark
Click this button to place a bookmark on the current page. Bookmarks are persistent between review sessions, and show the number of the bookmarked page below the icon. Click the bookmark button again to either move directly to the bookmarked page, or clear the current bookmark.
Finished
This option is available to Reviewers.
Click this button to submit your comments to the
Approver. Select either "Approved
"
– if you are satisfied with the current version of the proof
– or "Changes please
"
– if the proof's owner should make further updates.
Locked
This option is available to Reviewers.
The "Locked" icon indicates that the Approver has locked the current version of the proof, and no further comments may be submitted. Click the icon to send an unlock-request to the Approver.
Send To-Do List
This option is available to Approvers and requires at least one comment marked as "To-Do".
Click this button to generate a To-Do List from appropriately selected comments on the proof, and send it to the Owner of the proof.
Approve
This option is available to Approvers and requires that no comment is marked as "To-Do".
Click this option to approve the current proof.
Lock / Unlock Proof
This option is available to Approvers.
Click this button to lock the current proof and prevent any
further
comments from being added. To unlock the proof, click the
icon instead.
Review Toolbox
The Review Toolbox has a variety of tools that serve to either leave feedback or analyze the proof.
Each pen tool provides a distinct way of highlighting and leaving your feedback. While using any of these tools, three additional buttons will always be available.

will Undo the last action.

will Redo the last undone action.

will delete all marks made during the current action.
Red Pen
The Red Pen allows you to select a point or section on the proof to highlight.
- Click to mark a point.
- Click and drag horizontally to draw a line.
- Click and drag diagonally to draw a rectangle.
Drawing Pen
With the Drawing Pen selected, click and drag to draw a line. Release the mouse button to finish drawing and open the Comment Section. Each line you draw before you submit the comment will be considered part of the same drawing.
Highlight Pen
The Highlight Pen is only available if your proof has pages with text on them. With the Highlight Pen selected, click and drag over a piece of text to highlight it. When the Comment Section opens, a copy of your selected text will automatically be added to the comment.
General Comment
The General Comment tool allows you to add a comment to without needing to mark the current proof page.
The View tools allow you to focus in on specific details on a page.
Fit-to-screen
Clicking this button will fit the current page of the proof to your screen-size.
Zoom
The Zoom tools allow you to zoom in and out of the current page.

Use the larger
and
buttons to zoom in and out in 25% steps, or 50% steps when above 100% zoom.

Use the smaller
and
buttons to zoom in and out in 5% steps.
- Click the current percentage to adjust the zoom manually, either by entering a value or using the slider.
Marquee-Zoom
With the Marquee-Zoom tool selected, click on the page and drag the outline around the area you would like to see in detail. Once you release the click, the selected section will be zoomed in to fit your current view.
Rotate
Click the Rotate tool to turn the current page clockwise by 90 degrees.
The Magic Tools are a collection of useful functions that make reviewing a proof easier.
Keyboard Shortcuts
Select this option to display the available Keyboard Shortcuts.
Hide/Show Pins
Clicking this option will either hide the pins in the proof, or reveal them again.
Invert Pin Color
Click this option to switch the outline and fill colors of pins in the proof, which can help to increase the visibility of pins.
Focus Mode
Focus Mode temporarily hides some interface elements, which
can
improve the appearance of the editor on smaller screens.
To exit
Focus Mode, click the
button in the lower left.
Outline
The Outline tool highlights the edges of the proof, increasing readability for pages with a lot of whitespace.
Ruler
Use the Ruler to measure elements on the page.
Gridlines
Select this option to display a set of rules on the top and left of the page. You may now click and drag either ruler to create a guideline on the page, allowing you to create a custom grid.

Barcode Scanner
The Barcode Scanner will automatically check for any barcodes or QR Codes, and highlight them. Hover over the highlight to see additional details.
Import Comments from PDF
This function allows you to import pre-existing annotations and comments from a PDF copy of the current proof. After selecting the option, use the overlway to import the PDF file, and the editor will apply any identified notes.
Color Checker
The Color Checker allows you to select two colors and check their readability against the Web Content Accessibility Guidelines. Colors that meet the minimum standard will be marked as AA, while especially readable combinations will be marked as AAA.
Comment Panel
The Comment Panel contains the comments and responses left by Reviewers, Approvers, and Owners.
While it is hidden by default, it can be opened with a click on the tab at the right side of the Viewing Area. To hide the comments, click the "Close" button on the left edge of the panel.
Previous Comment / Next Comment
Click the
or
button – on the left side of the panel,
above and below the "Close" button – to return to the previous comment,
or move on to the next comment.
Unmarked Comments
Click this icon to filter the list of comments for only those marked neither as "To-Do" nor "Done".
To-Do
Click this icon to filter the list of comments for only those marked as "To-Do".
Done
Click this icon to filter the list of comments for only those marked as "Done".
Agree
Click this icon to filter the list of comments for only those that have been "agreed" with by other users.
Page selection
Click this button to show a list of all pages that comments have been left on. Clicking a page will bring it up in the Viewing Area and load the corresponding comments.
Box Fill
Click this icon to filter the list of comments for only those that use specific box-fill in their page-marking.
Search
Use this option to search the comments for keywords.
Download as .CSV
Click this button to download a copy of the comments as a .CSV file.
Sort by
Click this button to change the comment's sorting order, based on the name of the commenter, date, position of the comment on the page, and more.
